# Mailroom

Every reply from every mailbox in one list: filter it, see who needs an answer, snooze what can wait, and reply from the right mailbox.

The **Mailroom** is where replies land. It holds every email thread RecruitAffiliates.ai started, from every mailbox you've connected, in one list. Nothing else from your mailbox shows here.

Open it from **Mailroom** in the menu. Old links to `/inbox` still work.

## How the screen is laid out

On a computer it's three columns:

- **Left:** the filters, each with how many threads it holds.
- **Middle:** the threads, newest first, with the ones that need a reply on top.
- **Right:** the thread you opened, with the affiliate's card above it and the reply box under it.

On a tablet the filters sit above the other two. On a phone you see one thing at a time: the list, or the thread you opened with **Back to the list**.

## What each thread shows

Each thread is one row, read top to bottom like your phone's mail app:

1. **Who and when.** The affiliate's name and picture, and how long ago the last email was. Hover for the exact time. The name is bold, with a dot beside it, when they wrote since you last opened it.
2. **The subject**, on one line.
3. **The first thing said**, on one line. You see the actual answer. We skip the greeting ("Hey there,"), the signature and the quoted email underneath, and help desk lines like "Please reply above this line". When the last email was yours, it starts with **You:**.
4. **A quiet line underneath** with what their reply was, their channel, their stage and who owns their card.

What their reply was shows as a chip: **Interested**, **Question**, **Not now**, **Wrong person**, **Not interested**, **Complaint** or **Out of office**. **Unclear** means we couldn't tell what it means, and **Asks to be paid** means they asked for a fee. The channel is **Website**, **YouTube**, **Podcast**, **Instagram** or **TikTok**.

The thread you have open is highlighted.

A thread with no card shows the address we wrote to instead. Press **Link to an affiliate** on it, search your saved affiliates and pick one. The thread then shows their stage and owner.

## Views

Pick one under **Show**. Each says how many threads it holds.

- **Replies**: every thread they wrote on. Interested replies and questions sit at the top.
- **Needs reply**: their message is the latest, it's interested or a question, and nobody has answered it or marked it handled.
- **Unread**: they wrote since you last opened it. It's yours alone, so a teammate reading a thread doesn't clear it for you.
- **Snoozed**: threads you put away until a day you picked.
- **Everything sent**: every thread, replied to or not.

## Filters and search

Under the views, each with its count:

- **Reply:** the six reply kinds, plus **Unclear** and **Asks to be paid**.
- **Stage:** where their card is in your pipeline. Only stages with threads in them show.
- **Channel:** where you found them. Only channels with threads in them show.
- Search by name, handle or email address.
- Mailbox, owner and campaign. **Assigned to me** shows the threads on your own cards.

Press a reply kind, stage or channel again to clear it.

Filters live in the page address. Copy it and send it to a teammate, and they see the same list. **Assigned to me** shows each person their own threads.

The list loads 40 threads at a time. Press **Older threads** for the next 40.

## Act on a thread

Open a thread to read it. A card at the top says who they are: their name, score, channel, how big their audience is, and their stage. It never shows open rates or clicks, because we don't track them.

Under the card is the conversation. Each email gets its own card, oldest first, and the subject shows once at the top instead of on every single email. Quoted text folds away. When a reply carries your earlier email underneath it, that part sits behind **Show earlier**, and older emails in long threads shrink to one line. Tap one to open it.

From there you can:

- Change the stage, change the owner or add them to a list. The card changes too.
- Move them to **Said no** or **Later** and it asks why first, from a short list. Nothing moves until you pick one, and **Cancel** leaves the card where it was.
- Press **Open their card** to see everything else about them.
- Press **Mark handled** when nothing more is needed. It leaves **Needs reply** until they write again.
- **Snooze** it until a day you pick. It comes back at the top that morning. If they write before then, it comes back at once.

Tick several threads to mark them handled, move their cards to one stage or snooze them for a day, all at once. On a computer, hover over a picture and it turns into a tick box. On a phone, press the picture.

Moving several to **Said no** or **Later** asks why once, for all of them. Each card is tried on its own, so one that can't move never stops the rest. The line after says how it went, for example "3 moved, 1 needed a reason."

On a computer, `J` and `K` move through the list, `R` jumps to the reply box and `E` marks the open thread handled.

## Add them to a campaign from a thread

To put the person you're reading into one of your campaigns:

1. Press **Add to a campaign** on the thread.
2. Pick the campaign.
3. Their first email waits in that campaign's review queue. Nothing sends until you approve it there.

It says no, with the reason, when:

- They asked not to be emailed, or their address bounced. This is checked first.
- They're already in a campaign whose emails are still going. It names the campaign, so you can stop them there first.
- You marked them Do not contact, they're already your affiliate, or their card has no good address.

## Reply from the Mailroom

A reply box sits under each thread. Write your reply and press the send button. It names who the reply goes to.

- It goes from the mailbox the thread came in on, never another one. The box says which.
- It answers their last message, so it stays in the same thread in their mail app.
- It ends with your signature and the one opt-out line, like every email we send.
- Answers you give often can be [saved replies](/saved-replies).
- If that mailbox is disconnected, the box says so and offers **Reconnect** instead.
- If the person asked not to be emailed again, or their address stopped working, we won't send. The thread stays there to read.
- Pressing send twice sends one email.

### Undo a send

Pressing send (or `Cmd` + `Enter`, `Ctrl` + `Enter` on Windows) doesn't send at once. The button turns into "Sending in 10 seconds" with **Undo**.

- Press **Undo** within those 10 seconds and nothing is sent. Your words stay in the box.
- Open another thread in that time and it sends then, because you pressed send.
- **What goes at the bottom**, under the box, shows what we add to your reply. That's your mailbox's signature, if it has one, and the opt-out line.

### Drafts are kept

What you type is kept as a draft for that thread. Move to another thread with `J` or `K`, or click one, and come back: your words are where you left them. "Draft saved" shows beside the send button.

- Drafts are kept on this device, so a reload or a closed tab doesn't lose them. They don't follow you to another computer.
- A draft goes once the reply is sent. Drafts older than 30 days are cleared.
- If your browser won't store it (some private windows don't), the line says "Draft not saved on this device", and leaving the page asks first.

Your reply shows in the thread at once, and the thread leaves **Needs reply**. It never restarts a sequence or moves the card.

On an **Interested** reply or a **Question**, the invite draft gets a **Send** button too. It sends the invite the same way and marks the lead invited.

## Tools above the reply box

- **Saved replies**: drop in an answer you wrote before.
- **Insert affiliate link**: on an **Interested** reply or a **Question**, puts your signup link where your cursor is. With no signup link yet, it offers **Add your signup link** instead.

## Drafted replies

When your account has it, a thread whose latest reply is **Interested** or a **Question** shows **Draft a reply** above the box. The panel says what a draft is written from. For example: "Drafts are written from your offer: 20% of each payment, for the first 12 months". Press it and a short answer fills the box, under the words "Drafted for you, edit before sending". Press **Write it again** for another go.

- Read it, change what you like, then press send. Nothing sends until you do.
- It's written from the thread, your offer and your signup link. It never makes up a rate, a date or a promise. If they ask something your offer doesn't cover, it says you'll check.
- It copies the tone of your [saved replies](/saved-replies), never their facts.
- If you've already typed something, the draft goes under it.
- There's no draft for someone who asked not to be emailed, or whose address stopped working.
- Launch has 100 drafts a month and Grow has 500. The box says how many you have left. They come back on the 1st. The free trial has none.
- A draft that fails doesn't count.

**Write new emails instead**, under the thread, opens the composer on the same mailbox.

## Your mailboxes

A strip across the top shows how each connected mailbox is sending:

- **Healthy**: sending and syncing.
- **Slowed**: no new mail has synced for a day, or too many first emails bounced, so it sends fewer for now.
- **Disconnected**: nothing sends or syncs. Press **Reconnect**.

For each one it also shows:

- How many new people it emailed today, out of today's limit. For example, "Emailed 12 of 15 new people today". Replies and follow-ups don't count.
- Its warm-up. A new mailbox emails a few new people a day and builds up over three weeks. On day 9 it shows a bar with "Warm-up: day 9 of 21" and "43% complete". An established one reads "Warm-up skipped".
- When it last synced.

**Inbox settings** opens **Settings**, **Inboxes**. The numbers are the same on both screens.

## How many mailboxes

Your plan sets how many mailboxes you can connect, in **Settings**, **Inboxes**. Every thread from all of them lands in the one Mailroom.
