# Your team

Invite teammates to RecruitAffiliates.ai, see how many seats your plan has, pick a role for each person, give affiliates to teammates, and talk about them in notes with @mentions.

Open **Settings**, then **Team**. You'll see who's on the team, what role each person has, and how many seats you've used.

## Seats

A **seat** is one place on your team. The owner takes one. Each teammate takes one. An invite that hasn't been accepted yet takes one too, so you can't invite more people than you have room for.

| Plan | Seats |
| --- | --- |
| Trial | 1, the owner's |
| Launch | 3 |
| Grow | 10 |

The bar under the count has one block per seat. A dark block is someone who joined, a blue one is an invite they haven't accepted yet, and an empty one is free.

When every seat is taken, the invite form is replaced by a line that names the plan with more seats. Move up a plan on **Billing**, or remove someone to free a seat.

If you move to a smaller plan, nobody loses access. You just can't add anyone until you're under the new number again.

## Roles

Everyone on the team sees every brand. What changes is what each person can do. The same table is on the Team tab.

| Can | Owner | Admin | Member | Viewer |
| --- | --- | --- | --- | --- |
| See every brand, the pipeline, Mailroom and Activity | Yes | Yes | Yes | Yes |
| Export Activity and saved affiliates | Yes | Yes | Yes | Yes |
| Find, save and move affiliates on every brand | Yes | Yes | Yes | No |
| Assign affiliates and write notes | Yes | Yes | Yes | No |
| Delete a teammate's note | Yes | Yes | No | No |
| Change a deal's terms and add a partner to AffiliateRail | Yes | Yes | No | No |
| Edit brands, add a brand, change the weekly scan | Yes | Yes | No | No |
| Invite and remove teammates | Yes | Yes | No | No |
| Manage API keys and webhooks | Yes | Yes | No | No |
| Connect or disconnect a mailbox | Yes | No | No | No |
| Change the plan and see invoices | Yes | No | No | No |

A **viewer** can look at everything and change nothing. They can't save, move, note or send, and the server refuses the attempt even if someone calls it by hand. A viewer doesn't use a paid seat, so add as many as you like. This is handy for an agency's client or a part-time adviser. A viewer sees a "View only" tag at the top of every page. Turn a teammate into a viewer, or back, with the role menu next to their name. Moving a viewer back to member needs a free seat.

There's one owner, the person who signed up. A member can still mark terms agreed. Changing terms is kept to owners and admins because adding a partner creates a real commission rule.

## Invite a teammate

1. Type their email address and pick **Member**, **Admin** or **Viewer**.
2. Press **Send invite**.
3. They get an email from RecruitAffiliates.ai with a button to join.

New to RecruitAffiliates.ai? They create an account with that same address, and they join your team as part of signing up. Already have an account? They sign in, open the invite again, and they're in.

If that account's email was never confirmed, the invite page offers **Email me a code**, which sends a six-digit code they type in to join.

The invite only works for the address you typed, so someone who opens the link from a different account sees no invite waiting. **Sign out and use another email** fixes that.

Someone who already runs a brand of their own lands in your team the next time they sign in. The team they joined last is the one that opens. They can't switch back yet. Ask first.

If your team filled up between the invite and the click, they'll see that the team is full. Their invite stays put, and they can join as soon as a seat is free.

## Remove someone or cancel an invite

Press **Remove** beside a teammate, or **Cancel invite** beside an invite, then confirm. Their seat is free straight away. You can't remove the owner, and you can't remove yourself.

If the teammate has affiliates, the confirm says how many, like "Remove Sam? Their 14 assigned affiliates become unassigned." Pick a teammate under **Give them to** to hand them over in the same step. Their unsent follow-up reminders go too. Leave it on **Nobody** and they go back to unassigned.

## Send an invite again

Every invite that hasn't been accepted has a **Resend invite** link. It sends the same email to the same address and uses no extra seat. If the first email didn't go out, you'll see a warning with **Send it again** beside it. Only an owner or an admin can resend.

## Lowering a role

Moving someone to a lower role (Admin to Member, or anything to Viewer) asks first and says what they lose. Choose **Yes, change role**, or **Keep** to leave them as they are. Raising a role applies straight away.

## Give an affiliate to a teammate

Every affiliate can have an **owner**: the teammate who follows them up. Pick one from **Owner** at the top of the affiliate's profile. On **Saved** (a tab on Discover), select some rows and use **Give to** to hand them all over at once.

The person you pick gets one notice in their bell, like "Sam gave you 12 affiliates". It's one notice per hand-over, never one per affiliate. Nobody is told about an affiliate they gave themselves.

## Assigned to me

**Assigned to me** on Saved and Pipeline shows only the affiliates you own. Press it again to see everyone's.

If you're a member, **Make it my default** opens Saved and Pipeline on your own affiliates from then on, in this browser. Owners and admins always open on the whole team.

## Notes and @mentions

Open an affiliate and go to **Notes**. Every note shows who wrote it and when, newest first. Your team sees them. The affiliate never does.

- Notes are plain text, up to 5,000 characters. Web addresses turn into links.
- You can edit or delete your own notes. An owner or an admin can delete anyone's.
- The same notes show on the affiliate's deal page, with who agreed the terms and when.

To bring someone in, type **@** and pick a teammate from the list. They get a notice in their bell. **Open** takes them straight to the note. Only the people you mention are told, and mentioning yourself does nothing.

Only teammates who have joined appear in the list, so someone with an invite still waiting can't be mentioned yet. If a teammate leaves, their name stays in old notes as plain text.

Notes written before October 2026 were moved into the thread, with the affiliate's owner at the time as the author.
